The Challenge
During peak season, the office phone rang nonstop. But with technicians on the road and only one receptionist, over a third of calls went to voicemail.
Leads waited 4+ hours for a callback. Many never called back — they just Googled the next HVAC company. Technicians got double-booked because scheduling was done on a whiteboard.
What We Built
We deployed an AI receptionist that answers every inbound call and text message — 24/7, including weekends and holidays.
The system qualifies each lead (service type, urgency, location), asks preliminary diagnosis questions ('Is the unit making noise? When was it last serviced?'), and books the right technician directly into the dispatch calendar.
Follow-up texts go out automatically: appointment confirmations, day-before reminders, and post-service review requests.
